We put eight visitor management systems through the same test week: create a site, run three check-ins, invite two staff, pull a report, then answer a mock DSAR. The gap between the best and worst was bigger than expected. Here is what actually works in 2026.

This ranking is opinionated on purpose. I run Visits Record so treat that as disclosed bias. What I have tried to do is describe each product accurately enough that you can pick well even if you skip mine.

How I tested

Same laptop, same guard phone, same three visitors. Measured setup time, first check-in time, staff onboarding time, DSAR response time, and 30-day cost for a two-site deployment.

1. Visits Record

QR-first, no app install for visitors, generous free tier, and per-site role scoping out of the box. Setup was the fastest at nine minutes. Best pick for small to mid teams that want to launch this week without a hardware buy.

2. Envoy

The enterprise incumbent. Excellent kiosk experience, deep integrations with Slack, Okta, and access control. Pricing scales quickly and the iPad requirement adds hardware cost. Best pick for large staffed reception lobbies.

3. SwipedOn

Clean product, honest pricing, strong on kiosk-first sign-in. Multi-site reporting is straightforward. Best pick for teams that already own iPads and want a proven alternative to Envoy at lower cost.

4. Sign In App

Feature-rich, strong on evacuation reporting and contractor management. UI density is higher than others so training takes a bit longer. Best pick for facilities teams that value evacuation reports.

5. Proxyclick (Eptura Visitor)

Now part of Eptura. Enterprise heavy, deep pre-registration and watchlist support. Best pick when you need OFAC or watchlist screening on every visitor.

6. Greetly

Long time kiosk vendor. Very customisable check-in flows. Best pick for sites with unusual visitor categories that need bespoke intake screens.

7. Vizito

European, GDPR-forward, transparent pricing. Strong for small sites in the EU that care about data residency.

8. Sine (Honeywell Forge)

Backed by Honeywell, popular in construction and industrial sites. Strong contractor induction and PPE workflows.

How to pick without a test week

  1. How many sites and gates do I have?
  2. Do I need badge printing?
  3. Is contractor induction a hard requirement?
  4. What is my monthly budget per site?
  5. Do I need SSO or watchlist screening?

Answer those five and the field narrows to two or three products very fast.

Free tiers worth using

Visits Record, SwipedOn, and Sign In App all offer free tiers that are more than toys. A single-site facility can genuinely run on free for months. Use the free tier to prove the workflow, then upgrade only when you hit a real limit.

What I would pick tomorrow

For a single site under 200 visitors a day, Visits Record on the free tier. For a mid-market multi-site rollout, SwipedOn or Sign In App. For an enterprise lobby with badge printing and access control integration, Envoy or Proxyclick.
