Envoy is a very good product. It is also priced for teams that have a staffed enterprise lobby and a hardware budget. If that does not describe you, there are five QR-first alternatives that will do the job at a fraction of the cost.
Why teams look for an Envoy alternative
The three most common reasons I hear are pricing, iPad requirement, and time to deploy. All three trace back to the same root: Envoy was built for the staffed reception model. QR-first tools were built for the everything-else model.
1. Visits Record
QR-first, no visitor app, free tier for small sites. Per-site staff roles with row-level security so a guard cannot see other sites. Selfie capture into a private bucket. Multi-site reporting for admins. Best fit if you want to be live this week without buying iPads.
2. SwipedOn
Long-standing Envoy competitor with a lighter pricing footprint. Kiosk-first but also supports mobile check-in. Good multi-site reporting.
3. Sign In App
UK-founded, mature product, strong on evacuation reporting and contractor management. Fair pricing for the depth of features.
4. Vizito
European. Focused on GDPR-first design and data residency in the EU. Good pick if your legal team cares about where the data lives.
5. Greetly
Highly customisable kiosk flows. Good pick if your visitor mix needs bespoke intake screens that generic tools cannot express.
Feature comparison at a glance
- QR-first check-in without an app: Visits Record, all others with mobile fallback.
- Free tier that is actually usable: Visits Record, SwipedOn, Sign In App.
- Badge printing over Brother QL: SwipedOn, Sign In App, Greetly.
- Contractor induction with quiz: Sign In App, Sine, Visits Record via custom fields.
- EU data residency by default: Vizito, others as optional.
How to migrate off Envoy without losing history
- Export the full visitor CSV from Envoy admin.
- Note your current retention window. Match it in the new tool.
- Import via the new tool's CSV import or via API.
- Reconfigure host notifications, Slack integration if used.
- Cancel Envoy the day after the new tool goes live, not before.
What to test before you switch
Same three-visit test on the new tool. Time yourself. Check that DSAR search works. Verify that guards see only their site. Run one week in parallel if the risk is high. Cancel Envoy only after the parallel week clears cleanly.
Honest disclosure
I run Visits Record. My bias is obvious. I have tried to describe each competitor accurately because you will spot a puff piece a mile away. Test two or three options and pick the one that fits your visitor mix.
